Privacy Policy

This policy explains how TrendSights handles account data, workspace inputs, public-source research, user documents, AI-assisted workflow records, and reviewable evidence artifacts.

What TrendSights is

TrendSights is a CloudRaven Labs LLC Research Studio for turning research questions, geographies, source material, and local context into reviewable evidence records, maps, briefs, grant-support materials, and trend monitors.

The product is designed to keep source lineage, citations, caveats, model involvement, and human review status visible. It is not designed to collect personal information unless that information is needed to create an account, secure a workspace, process a user-submitted request, or support a reviewed workflow.

CloudRaven and TOP Sprint context

TrendSights is owned and operated by CloudRaven Labs LLC. CloudRaven is shaping TrendSights through its participation as a U.S. Census Bureau Open Innovation Labs TOP Sprint 2026 Tech Team member.

TrendSights may use Census Bureau data, Census APIs, TOP Sprint resources, and other public-data sources. TrendSights outputs are CloudRaven product artifacts unless separately identified otherwise; they are not official Census Bureau outputs and are not endorsed or certified by the Census Bureau.

Information we collect

We may collect account information such as name, email address, authentication identifiers, organization or program affiliation, sign-in events, and workspace membership details.

We may collect access-request and intake information such as your intended use cases, areas of interest, organization, geography interests, availability, support needs, reviewer notes, approval status, and admin decisions.

We may collect research inputs that you provide, including topics, geographies, intended decisions, URLs, uploaded documents, notes, source files, forwarded materials, join-request responses, and configuration choices for monitors or review queues.

We may collect product usage and system records such as research-run status, selected sources, generated artifacts, review decisions, source citations, model invocation metadata, logs, device and browser metadata, and security or diagnostic events.

How we use information

We use information to authenticate users, operate workspaces, create research runs, discover and organize source material, generate evidence artifacts, maintain source provenance, support human review, and improve reliability and security.

When AI-assisted features are used, prompts, source excerpts, intermediate notes, generated outputs, and model invocation metadata may be processed to produce draft analysis, citations, caveats, summaries, maps, briefs, or monitor recommendations.

We use review status and source metadata to help prevent unreviewed claims, unsupported exports, ambiguous geography matches, or monitor-policy changes from being treated as approved evidence.

ChatGPT and MCP access

When you connect TrendSights to ChatGPT through the Model Context Protocol (MCP), TrendSights receives the research requests you choose to send, including an accelerator identifier, your research question, an idempotency key, short-lived confirmation-grant references, and research-run identifiers. TrendSights may return the available accelerator catalog, a confirmation expiration, run status, review status, evidence counts, source-gap counts, blocker counts, and related public run-summary fields to your ChatGPT conversation.

TrendSights uses OAuth access tokens and your authenticated subject to authorize the request and resolve an active workspace membership. Access tokens, Cognito subjects, email addresses, internal workspace identifiers, and internal authorization records are not included in MCP tool results. Operational security and audit records may retain authentication, grant, request, and workspace references as described in the retention and security sections below.

OpenAI processes the prompts, tool inputs, and tool outputs used in your ChatGPT conversation under your agreement and settings with OpenAI. TrendSights also uses infrastructure and service providers for authentication, hosting, storage, logging, security, and AI-assisted processing. Only connect or submit information that you are authorized to use in both services.

Public data, local context, and user documents

TrendSights combines public or approved sources such as Census, ACS, local GIS, public health, labor, economic, grants, and related datasets with user-provided context. Public-source availability, licensing, vintage, geography support, and limitations may affect outputs.

User-uploaded documents, notes, links, and forwarded source material remain part of the workspace record unless deleted or otherwise managed under an agreed retention policy. Users should not upload sensitive personal, medical, financial, regulated, confidential, or third-party data unless they have authority to do so and an appropriate agreement is in place.

If future data-sharing workflows are used with Census or another public-sector reviewer, CloudRaven's default product stance is to share only sanitized, aggregated, reviewed summaries unless a separate written agreement authorizes a different scope.

Email and access notifications

When you request access, TrendSights may send transactional email confirming receipt, describing the review process, and notifying you about account, access, workspace, or support updates.

Some messages may be drafted by RavenAgent from the information you submit, then sent as operational service communications. Marketing messages, if introduced later, will use separate consent and unsubscribe controls where required.

Sharing and disclosure

We do not sell personal information. We may share information with service providers that help operate authentication, hosting, storage, analytics, security, AI processing, email, and related product infrastructure.

We may disclose information when required by law, to protect the service, to investigate abuse or security issues, to enforce terms, or as part of a business transaction such as a merger, acquisition, financing, or asset transfer.

Workspace outputs may be shared by users who export or distribute them. Users are responsible for confirming that source review, permissions, confidentiality obligations, and stakeholder approvals are satisfied before external use.

Retention and deletion

Retention may vary by workspace, program, plan, prototype agreement, or legal requirement. Research records may include account data, source metadata, uploaded materials, generated artifacts, review tasks, run traces, and monitor configurations.

Where supported, users may request deletion or correction of account and workspace information. Some records may be retained when needed for security, auditability, dispute resolution, legal compliance, backup integrity, or preservation of a reviewed evidence trail.

Security

We use administrative, technical, and organizational safeguards intended to protect accounts, workspaces, and research records. No internet service can guarantee complete security.

Only authenticated users should access private workspace data. Workspace-agent email, source forwarding, API intake, and monitor configuration should be treated as ingestion boundaries that require authorization, provenance capture, and review.

Your responsibilities

You are responsible for the accuracy, lawfulness, and permissions for materials you submit. You should avoid entering unnecessary personal information and should remove or redact sensitive details before uploading or forwarding source material.

You are responsible for reviewing outputs before relying on them for grants, public communications, outreach, investment, operational decisions, or stakeholder distribution.

Changes

We may update this policy as TrendSights changes. Material updates will be reflected by changing the last-updated date and, where appropriate, providing additional notice in the product or through account channels.

These pages are product-facing baseline terms for the current TrendSights service state. They are written for users and reviewers, but should still be reviewed by counsel before use with regulated, contractual, or sensitive customer data.
